How to switch third-party maintenance providers.

Switching third-party maintenance providers is mostly paperwork. Pull the asset list, check the current contract's end date and notice terms, get a line-by-line quote, and start the new coverage when the old term ends. NETRAID quotes the same day from an asset list or serials.

Why teams change providers

Updated October 20, 2026

Usually it is about fit, not one failed ticket. The renewal crept up. A new EOSL system is not covered and now needs a second contract. The engineer who shows up is hours away, or every call goes to someone new. Or the team wants managed IT from the same people who maintain the hardware. Any of those is a fair reason to get a second quote.

How to time the switch

Start a couple of months before the current term ends. That leaves time to read the notice and auto-renewal terms, compare quotes, and sign without rushing. The goal is for the new coverage to start the day the old coverage stops, so you are not paying for two contracts and you are not sitting uncovered.

What to send for a quote

Send whatever you already have. That might be the asset list or serial export from the current contract, or the renewal quote itself. Include the site address for each system and the service level you need on each line. NETRAID returns a same-day quote you can compare line by line with what you pay now.

Switching checklist

Work through this before the current term ends.

  1. Find the current contract's end date, notice period, and auto-renewal terms.
  2. Export the covered asset list with serial numbers and site addresses.
  3. Mark which systems are production and which can run on a lower service level.
  4. Request quotes at the same service level for each line so the comparison is fair.
  5. Set the new start date to the day the old coverage stops.
  6. Share site access and escalation contacts with the new provider before day one.

FAQ

Common questions.

How do I switch third-party maintenance providers?

Pull the asset list and the current contract terms, get a line-by-line quote at the same service level, give notice if the contract requires it, and start the new coverage on the day the old term ends. NETRAID quotes the same day from an asset list or serials.

What should I look for when changing providers?

Multi-vendor and EOSL coverage on one contract, a fast first response, service levels you can mix, local engineers, and a quick line-by-line quote. NETRAID offers a 30-minute first response on production issues and engineers usually within about 20 miles.

Will I have a gap in coverage when I switch?

Not if the dates line up. Start the new coverage on the day the current term ends so you are not paying for two contracts or going unsupported in between.

Can NETRAID cover hardware my current provider does not?

Often, yes. NETRAID covers current, post-warranty, and EOSL hardware from Dell, HPE, IBM, NetApp, Cisco, Lenovo, Supermicro, Oracle, Pure Storage, Juniper, and others, including brands not on the published list.

Is it worth a second quote if I am happy with my current provider?

It is a low-effort check. Send the same asset list and compare at the same service level. NETRAID's pricing is typically about 70% below OEM renewals, and the quote comes back the same day.
